Varioline Traveller is a travel services company that assists customers with air ticketing, hotel reservations, visas and immigration-related travel assistance, tours and activities, transfers, Hajj and Umrah arrangements, travel insurance facilitation, study-abroad assistance, corporate travel, group travel, conference travel and related services.
You can contact our team by telephone, email, website enquiry, messaging channel, or by visiting our office. For a booking-specific matter, please include the traveller name and booking reference where available so we can assist more quickly.
Yes. Depending on your requirements and destination, we can coordinate multiple components such as flights, hotels, transfers, tours, visa assistance, insurance facilitation and other travel services. Each component remains subject to availability and the applicable supplier conditions.
Yes. We assist with corporate travel, pharmaceutical and sponsored groups, medical and CME delegations, conferences, educational travel, family groups and other organized travel. Group arrangements may have special payment, name-list, ticketing, rooming and cancellation deadlines.
Yes, provided you are authorized to provide that traveller’s information and make arrangements on their behalf. Passenger names and document details must be supplied exactly as required for the relevant service.
No. Visas are issued or refused only by the relevant embassy, consulate, immigration authority or other competent government body. Varioline Traveller can assist with the administrative and travel-related parts of the application process.
No. No travel agency can guarantee a visa decision. Approval, refusal, validity, number of entries, permitted stay and processing time are determined solely by the relevant authority.
Depending on the destination and service requested, assistance may include application guidance, document checklists, forms, appointment support, cover letters, itineraries, supporting-document review, submission arrangements and related travel documentation.
Processing time varies by country, visa category, season, applicant circumstances and the relevant authority. Any processing time we provide is an estimate based on available information and is not a guarantee.
We may assist with appointment scheduling where the relevant system permits it. Appointment availability is controlled by the embassy, consulate, visa application centre or official booking platform and cannot be guaranteed.
Requirements depend on the destination, visa category and applicant profile. We provide destination- and case-specific checklists where possible. Applicants remain responsible for submitting genuine, complete, accurate and consistent documents.
Embassy, government, visa application centre, biometric, courier and similar third-party charges are generally governed by the relevant authority’s rules and may be non-refundable even when a visa is refused. Any Varioline Traveller service fee is subject to the terms communicated for that service.
Yes. Where appropriate, we can review the refusal decision and help explain whether the case may be better suited to reconsideration, appeal, reapplication or another available option. The correct route depends on the country, visa category and refusal grounds.
Yes. We can assist with domestic and international air reservations subject to airline schedules, fare availability, ticketing deadlines and applicable fare rules.
Airfares and seat inventory are dynamic. A quoted fare may change or disappear before payment and ticket issuance. The final fare is confirmed only when the reservation has been completed and the ticket has been issued as required.
It depends on the fare rules. Some tickets are changeable with a penalty and fare difference, while others may be restricted or non-changeable. We can check the applicable airline rules for your ticket.
Name changes and corrections depend on the airline and fare rules. Some airlines allow limited corrections, while a complete passenger-name change may not be permitted. Always provide the passenger name exactly as shown on the passport before ticketing.
Airlines may change schedules, routes, aircraft, flight numbers or operating dates. Where we are notified, we can assist with available rebooking, credit or refund options, but the outcome remains subject to the airline’s rules and applicable law.
Baggage allowance varies by airline, route, cabin and fare. Your ticket or itinerary normally shows the applicable allowance. Contact us before departure if you need clarification or wish to purchase additional baggage where available.
Yes. We can arrange accommodation in many destinations subject to hotel and supplier availability, rates and booking conditions.
Refundability depends on the rate selected. Some rates are flexible, while others are partially refundable or fully non-refundable. The applicable cancellation terms should be reviewed before confirmation.
Not always. Certain city taxes, resort fees, security deposits, local charges and optional services may be payable directly at the property. We will communicate known inclusions and exclusions where available.
Special requests can be passed to the hotel, but they are not guaranteed unless the property expressly confirms them. This can include room views, adjoining rooms, smoking preference, early check-in, late check-out and particular bedding.
Yes. We can assist with tours, attractions, sightseeing, transfers and activities in many destinations, subject to supplier availability and operating conditions.
Operating times and itineraries may change because of weather, local conditions, closures, supplier decisions or other circumstances. Customers should review the final voucher and reporting instructions before the activity.
Late arrival or failure to appear may be treated as a no-show under the supplier’s rules. Some services cannot be delayed or rescheduled once the operating time has passed.
Images are intended to help describe a destination or activity, but actual conditions may differ because of season, weather, crowds, renovations, construction, lighting or changes made by the supplier.
Yes. We can assist with Hajj and Umrah travel arrangements subject to applicable Saudi regulations, permit systems, visa requirements, airline schedules, accommodation and transportation availability.
Yes. Government regulations, health requirements, permits, visa rules, quotas and operating arrangements may change. Customers must comply with the current official requirements applicable at the time of travel.
We confirm the arrangement available at the time of booking, but pilgrimage operations can be affected by government directions, supplier changes, traffic controls, movement restrictions and other operational circumstances.
A quotation, payment request or provisional reservation does not always mean final confirmation. A service is confirmed when the required ticket, voucher, booking reference, appointment confirmation or other applicable confirmation has been issued.
Airfares, hotel rates and other travel inventory can expire quickly. Suppliers may automatically cancel or reprice reservations if payment or ticketing is not completed before the stated deadline.
Yes. Banks, card processors and payment providers may apply transaction, exchange-rate or currency-conversion charges. These charges may be separate from the price quoted by Varioline Traveller.
Where applicable, we provide the relevant invoice, ticket, voucher, itinerary, booking reference or other confirmation for the service purchased.
You may request cancellation, but the refund or penalty depends on the rules applying to each component of the booking. Some fares, hotel rates, tours, deposits, visa charges and service fees may be non-refundable.
Refund timing depends on the supplier and payment method. Where a supplier must first authorize or return funds, Varioline Traveller cannot complete the refund until the necessary supplier process has been completed.
A no-show generally occurs when a traveller fails to report for a confirmed flight, hotel, tour, transfer, appointment or other service within the required time. Supplier rules may result in partial or complete loss of the amount paid.
You can request changes, but each flight, hotel, transfer, tour, visa appointment or other service may have separate rules. Changes may create penalties, rate differences or a need to make a new booking.
Events such as severe weather, natural disasters, strikes, security incidents, border closures, government restrictions, epidemics or supplier operational problems may affect travel. We will make reasonable efforts to assist, while refunds, credits and changes remain subject to supplier rules and applicable law.
